GCYSL Board Meeting Minutes
Recorded by Bethany Gallegos 3/19/09 6:30 pm
Members Present: Sophia Meyer, John Hubacz, Jim Oebker, Sandi Zajec, Mitch Hendrickson, Bethany Gallegos, Rene van der Meer, Pete Negri, Dan Vielhauer. Absent: Dave Pistone.
Minutes: Minutes from last meeting accepted as corrected.
President: She did not attend the District Meeting this month, but she heard that the subject arose at the meeting of a federal law stating that kids under the age of 14 can’t get paid for refereeing. She will let us know when she gains further information on this issue. Monthly board meetings will go back to the 3rd Thursday of each month again. The next meeting will be on April 16th.
Metro: Try-outs are taking place and have been well-attended so far. Sponsorships may be needed for some players who may not be able to afford metro-related expenses.
Webmaster: Mitch needs the minutes from past meetings to post on the website, as well as more coaching materials and information regarding coaching.
Fields: The budget will be relatively similar to last year’s for field expenses. John is in the process of contacting schools and renewing permissions for GCYSL’s field use for the upcoming season.
Referees: The referee clinics have been scheduled for May 9th and 10th from 8am-5pm, as well as July 14th, 16th, 21st, 23rd from 5pm-9pm. The proposed budget for referees shows an increase of $700 over last year’s, due to wanting to pay referees slightly more per game. The board voted on this and approved the budget increase.
Coaching: Pete reported that 35 coaches thus far have said they will coach in the upcoming season. British Challenger camps cost $1138 in hosting fees. The F-License Coaching Clinics cost the league $650 each. This does not include the cost of the corresponding coaching books, which the league is required to provide to the coaches who take the clinic. They cost $8.95 each and we agreed to order 100.
Registration: The discussion of raising the rates was brought up. Rates have not been increased by GCYSL in 8 years. Motion: Sophia motioned, seconded by Rene (m/s/c), that we keep the “early registration” rate at $65 per player, which means that anyone who registers their kids to play between May 9th and June 2nd will get the “early registration” rate. Anyone who registers their child to play thereafter will pay a “late” rate of $85 per player. It was agreed that any family who registers 3 or more kids from the same family to play will get a multi-player discount, which is the regular registration rate (depending on if it’s “early” or “late”) for the first two kids, and any children thereafter (in the same family) will cost $25, which is an increase of $5 over last year’s multi-player discount. Coaches will still receive a registration discount; however, it will be limited to the child(ren) he is coaching – not all children in his/her family (which is what was offered last year). It was discussed that we need 1 adult for every 3 minors who take the referee course. 1 adult/parent/guardian from each team needs to obtain their referee license in order for GCYSL to meet this district-mandated requirement. This will be mandatory. The board also established that all coaches be required to obtain their referee license by their 2nd year of coaching. Each coach will have 2 years to obtain their referee license, and if they don’t by the 3rd year of coaching, they will not be allowed to coach.
Meeting Adjourned: 8:30 pm
